Terms & Conditions of Entry

1. ELIGIBILITY FOR ENTRY
•    Membership Requirement:
Participation is exclusively open to The Property Institute’s (TPI) Company Members, Associates, Network, Affiliates, Partners and TPI Individual Members. Membership must be confirmed and the application process prior to the entry closing date.
•    Free Entry:
There is no fee to enter the awards.

2. SUBMISSION REQUIREMENTS
•    Deadline:
Entries must be submitted online no later than Thursday, 28th March 2025, using the official entry form available on the ACE Award website.
•    Category Restrictions:
o    Entrants may submit entries in more than one category.
o    Only one entry per category is permitted per entrant.
This allows participants to showcase their versatility while ensuring focused and fair competition within categories.
•    Approval:
Some categories require approval from a company director before submission.
Please check the criteria of each category carefully.

3. CONFIDENTIALITY AND PUBLICITY
•    Confidential Handling:
All submitted information will be treated as confidential and accessible only to the organiser (TPI) and the judging panel.
•    Publicity for Shortlisted/Winners:
Details of shortlisted, highly commended and winning entries will be featured in TPI publicity materials.

4. JUDGING PROCESS
•    Timeline:
o    Shortlisted entrants will be announced around the second week of May 2025.
o    Winners will be revealed during the Awards Dinner and Ceremony on Friday, 20th June 2025, at the Old Billingsgate.
•    Judging Panel:
The judging panel are made up of senior property professionals, entirely independent of TPI, and their decision shall be final. TPI will not be involved in the judging process. The judges will make their decisions based on the criteria listed for each category and they will be looking for clear examples of good management and/or practice that have led to the improvement in the lives of leaseholders.
•    Final Decisions:
o    The judges’ decisions are final, and no correspondence regarding these decisions will be entertained.
o    Not all the awards advertised will be awarded if the judges consider that the criteria have not been met. 
•    Conflict of Interest:
Judges will recuse themselves from discussions or decisions involving entries where they have a vested and/or conflicts of interest. This avoids bias and reinforces fairness in the evaluation process.
•    Evaluation Focus:
As the core purpose of the Awards is of recognising impactful contributions to leaseholder communities, judges will prioritise clear examples of good management or practices that significantly enhance the lives of leaseholders.

5. ACCEPTANCE OF TERMS
By entering the competition, participants automatically agree to adhere to these Terms & Conditions.

6. AWARDS AND RECOGNITION
•    Recognition Tools:
Winners, highly commended entries, and shortlisted finalists will have the right to use a special logo on their marketing materials.
•    Complimentary Tickets:
Shortlisted finalists will receive one complimentary ticket per category to the Awards Dinner and Ceremony.

7. EVENT TERMS & CONDITIONS
The Awards Dinner and Ceremony will be governed by separate Terms & Conditions, which are published on the Awards Dinner page.

8. GDPR COMPLIANCE

The Judge agrees to handle all personal and sensitive data provided as part of the award judging process in full compliance with the General Data Protection Regulation (GDPR). This includes but is not limited to:
•    Data Handling: Personal data must only be accessed, processed, or used for purposes directly related to the judging process.
•    Data Storage: Personal and sensitive data must be securely stored using appropriate technical and organisational measures to prevent unauthorised access, disclosure, or loss.
•    Data Disposal: At the conclusion of the judging process, the Judge agrees to securely delete or destroy all personal and sensitive data in their possession, unless retention is specifically authorised in writing by the awarding body.
